{"id":2528,"date":"2019-05-19T15:00:24","date_gmt":"2019-05-19T15:00:24","guid":{"rendered":"http:\/\/hr4free.web-romandie.ch\/?p=2528"},"modified":"2019-05-19T15:00:24","modified_gmt":"2019-05-19T15:00:24","slug":"managerial-communication-techniques-active-listening-methodology-and-questioning-techniques","status":"publish","type":"post","link":"https:\/\/hr4free.com\/en\/Managerial-Communication-Techniques\/Active-Listening-Methodology-and-Questioning-Techniques","title":{"rendered":"Managerial Communication Techniques: Active Listening Methodology and Questioning Techniques"},"content":{"rendered":"<p>As we have seen in the article\u00a0<strong><a href=\"https:\/\/hr4free.com\/en\/Managerial-Communication-Techniques\/Definition-of-Active-Listening-Carl-Rogers\" target=\"_blank\" rel=\"noopener\" data-cke-saved-href=\"https:\/\/hr4free.com\/en\/Managerial-Communication-Techniques\/Definition-of-Active-Listening-Carl-Rogers\">&#8220;Managerial Communication Techniques: Defining Active Listening&#8221;<\/a><\/strong>, active listening is a\u00a0<em>communication tool<\/em>\u00a0that allows both making sure and proving that we have understood our interlocutor&#8217;s message.\u00a0<strong>The mechanisms of active listening follow a 4-steps cycle that is repeated until the message&#8217;s understanding is validated<\/strong>\u00a0by the interlocutor. We may refer to this methodology as\u00a0<a href=\"http:\/\/www.hr4free.com\/PDF_Files\/Blog_Management_active_listening_methodology.pdf\" target=\"_blank\" rel=\"noopener\" data-cke-saved-href=\"http:\/\/www.hr4free.com\/PDF_Files\/Blog_Management_active_listening_methodology.pdf\"><strong>&#8220;four-step active listening cycle&#8221; (illustration)<\/strong><\/a>:<\/p>\n<p><strong>I. Listening to the message:<\/strong>\u00a0While listening, we may display an\u00a0<em>&#8220;attentive silence&#8221;<\/em>, while shortly intervening with phrases such as &#8220;yes, I understand&#8221;, in order to prove to the interlocutor that we are listening to both his\/her\u00a0arguments\u00a0(the issue) and\u00a0feelings\u00a0(the person).<\/p>\n<p><strong>II. Clarifying the message:<\/strong>\u00a0In this context, clarifying means<em>\u00a0&#8220;understanding the meaning of the words&#8221;<\/em>. After listening, should there be any doubt as to the meaning of certain words in the interlocutor&#8217;s expos\u00e9, it is possible to ask about it. In order to clarify, we may simply ask such questions as:<\/p>\n<ul>\n<li>&#8220;What do you mean by&#8230;?&#8221; or &#8220;What does this term mean for you?&#8221;<\/li>\n<li>&#8220;What is your definition of&#8230;?&#8221; or &#8220;How could you explain&#8230;?&#8221;<\/li>\n<li>&#8220;What feeling do you refer to when you say that&#8230;?&#8221;<\/li>\n<\/ul>\n<p>You then go back to listening and try clarifying until the meaning of each word is made clear to you.<\/p>\n<p><strong>III. Investigating the message:\u00a0<\/strong>going more in depth, in order to\u00a0<em>better understand the interlocutor&#8217;s\u00a0point of view<\/em>. To do so, we may essentially use the three following types of questions:<\/p>\n<p><a href=\"http:\/\/www.hr4free.com\/PDF_Files\/Blog_Management_ecoute_active_questions.pdf\" target=\"_blank\" rel=\"noopener\" data-cke-saved-href=\"http:\/\/www.hr4free.com\/PDF_Files\/Blog_Management_ecoute_active_questions.pdf\"><strong>1. Open-ended questions:<\/strong><\/a>\u00a0open-ended questions allow our interlocutors to discuss the issue as they deem best.<\/p>\n<p>Example : How do you look at this situation?<\/p>\n<p><strong>2. Funnel questions:\u00a0<\/strong>This technique implies asking questions to gain information on a specific subject, and then homing in on a point in each answer. More and more details are obtained at each level. and asking more and more detail at each level. This technique allows gathering information on essential aspects of the problem.<\/p>\n<p>Example : How many people are involved in this project? How many of them do you directly supervise? Etc.<\/p>\n<p><strong>3. Probing questions:\u00a0<\/strong>Unlike in funnel questioning, here we are seeking opinions rather than facts. It may indeed be important to know what others would advise to do.<\/p>\n<p>Example : In your opinion, what do we need to do to solve this issue?<\/p>\n<p><strong>IV. Paraphrasing the message:\u00a0<\/strong>Paraphrasing will allow us to make sure that we understand our interlocutors correctly. Moreover, by giving back the meaning of the message, we will provide a\u00a0<em>proof<\/em>\u00a0of this understanding, thus allowing them to restart the discussion exactly where it had stopped.\u00a0<u>For our interlocutors, this re-statement is the only proof that they are indeed being listened to<\/u>. This approach can help\u00a0<em>appeasing the relationship<\/em>\u00a0when the communication<em>\u00a0<\/em>is tense, for we are showing to our interlocutors that we understand what they want and care about it.<\/p>\n<p>Paraphrasing also presents the following advantages:<\/p>\n<ul>\n<li>It allows the listener to\u00a0assimilate\u00a0what has been said, as he\/she\u00a0<em>re-states it with his\/her own words<\/em>, in a fully personal manner.<\/li>\n<li>By offering a\u00a0repetition, it allows everyone to\u00a0<em>better understand and memorize<\/em>.<\/li>\n<li>By profiding an\u00a0<em>intermediary synthesis<\/em>, it allows ensuring that the discussion moves forward.<\/li>\n<li>It offers the interlocutor a<em>\u00a0right of response<\/em>, so that he\/she is able to correct or nuance what he\/she has said, if necessary.<\/li>\n<li>It allows the interlocutor to\u00a0<em>step back\u00a0<\/em>from what he\/she is saying or living.<\/li>\n<li>It allows<em>\u00a0highlighting what is\u00a0essential<\/em>\u00a0in the other person&#8217;s discourse<\/li>\n<\/ul>\n<p><strong>It is also interesting to point out that the use of paraphrasing with one&#8217;s subordinates can prove an excellent means of developing one&#8217;s active listening skills.\u00a0<\/strong>Also, the article\u00a0<a href=\"https:\/\/hr4free.com\/en\/Managerial-Communication-Techniques\/Active-Listening-Skills-Development-Tools\" target=\"_blank\" rel=\"noopener\" data-cke-saved-href=\"https:\/\/hr4free.com\/en\/Managerial-Communication-Techniques\/Active-Listening-Skills-Development-Tools\"><strong>&#8220;A Few Practical Tools to Improve Your Active Listening Skills&#8221;<\/strong><\/a>\u00a0offers you a few hints at how you can make your communication more fluid and increase your capacity to listen.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>As we have seen in the article\u00a0&#8220;Managerial Communication Techniques: Defining Active Listening&#8221;, active listening is a\u00a0communication tool\u00a0that allows both making sure and proving that we have understood our interlocutor&#8217;s message.\u00a0The mechanisms of active listening follow a 4-steps cycle that is repeated until the message&#8217;s understanding is validated\u00a0by the interlocutor.
